Cancellation, Rescheduling & Attendance Policy

Learn Lead Thrive - Coaching, Mentoring, Workshop Consultancy and Facilitation Services

At Learn Lead Thrive we understand that life happens. Illness, family responsibilities and unexpected events are part of being human. At the same time, our work is delivered with deep preparation, emotional labour, and reserved time that cannot be replaced at short notice. This policy exists to protect both our clients and the sustainability of our practice.

1. Confirmation of Bookings

All bookings are confirmed once payment (or deposit, where applicable) has been received.

2. Cancellation & Rescheduling Timeframes

Notice Provided

More than 5 Working days before your session

Outcome - Full refund or free reschedule within 2 months of scheduled first date.

*More than one reschedule will occur a 50% fee retention if not conducted within 30 days of the initial date booked. 

 

Notice Provided

3–5 working days before your session

Outcome - Free reschedule within 30 days or 25% Fee retained.

 

Notice Provided

48 hours – 72 hours before your session

Outcome - 50% of the session fee retained

At the discretion of LLT Consultancy a rescheduled appointment may be made within 30 days of the initial date.

Less than 48 hours before your session

Outcome - 75% of the session fee charged.

At the discretion of LLT Consultancy a rescheduled appointment may be made within 30 days of the initial date.

Non-attendance / No show 

Outcome - 100% of the session fee charged

48 hours’ notice is the minimum required for any cancellation or rescheduling.

No response to rescheduling

Up to 3 attempts at rescheduling will be made by LLT.  Should no response be received or no date agreed upon between LLT and the service/business, and payment has already been received, 100% of the session/program fee will be kept by LLT unless:

The service or business can provide a letter detailing extenuating circumstances for no response to the communication attempts within 24 hours of receiving a rescheduling attempt and both parties can agree on a scheduled date within 4 weeks of LLT receiving the letter of extenuating circumstances. 

Should this further session then be postponed or cancelled by the business or service the business will forfeit 100% of the fee to LLT with no further rescheduling attempts for the same service.

NOTE: 

Behaviour that is disruptive, disrespectful or rude will not be tolerated.

Learn Lead Thrive has a 0% bullying tolerance and will charge full fee irrespective of the session completion or the participants stated learning in a disrupted session. 

3. Illness & Compassionate Grounds

We ask that you care for your health and the safety of others. If illness occurs, you may:

  • Transfer your session to another date excluding the above terms of fee retention if a:

  • Medical certificate or Department of Health notification is received within 48 hours, allowing a one-time reschedule opportunity within 2 months of the initial booked date.

This consideration is offered once per 6-month period.

4. Deferred Bookings

Contextualisation is conducted for every booking please consider the time and effort made into the preparation prior to deferring bookings.

5. Programs, Workshops & Group Services

For sessions conducted for more than 6 attendees such as workshops:

  • Cancellations within 7 days of commencement occur a 50% retention fee

  • Deferred participation must occur within the terms above

6. Why This Matters

Our work is relational, reflective and highly prepared.

Late cancellations remove opportunities for others and compromise the sustainability of this practice. This policy ensures fairness, accountability and mutual respect.
